Roving Hours reserves places on twenty eight dated windows across the year, from $3,061 to $6,939 per person, and the only thing it asks a traveler for is what a figure needs: a name, a way to reply, a month or a window, and how many of you there are. This page follows that handful of facts through the office in order, from the form to the file to the day it is cleared out. Card details stay outside all of it, because the company that operates a trip raises its own bill for it.

Everything this office holds about a traveler arrived from that traveler. There is no second source and nothing is bought in. A form, an email or a call carries a short set of facts; those facts put a figure against your dates, and then, on your word, have a place held in your name; after that they sit in one file until they are cleared. The steps below are in the order they happen.
Five questions, then a person
A name. An email address, which is the route the answer comes back along. The window or the month you are looking at. How many people are traveling and how they share rooms. And how far your dates can move at either end, since several windows land on different dates from one year to the next and a figure has to be set against nights that exist.
That is the whole of it. A telephone number is not one of the fields. This office answers calls on +1 (407) 629-3157 and places none of its own, and it sends nothing to a handset at any point, so a number left in a file would sit there with no work to do. The free box at the end takes anything else you want said. Please keep identity document numbers and health information out of it. Neither is needed to price a window, and if either arrives anyway it is deleted and you are told so.
Who reads a request, and what moves outward
A request is read by the small group working at 1350 N. Orange Avenue, Suite 221 in Orlando. To price it, the office sets your nights against the dated list the operating company keeps for that season, and at that stage the question put to that company is about a trip and a set of dates. Your name does not travel with it.
Your details go outward exactly once, and only on your instruction, because a reservation has to stand in somebody's name. What goes is what a reservation needs: the names in the party, the dates, the room split, and one contact route for the operating company's own paperwork. That company then holds the booking under its own terms and becomes the keeper of what it was given.
Nothing else leaves here. What you tell this office is not sold, rented, swapped, pooled or passed to anybody for their own use, and no arrangement exists under which a name from this file is handed over in return for anything. A disclosure to a public authority happens where the law obliges one, and for no other reason.
Card details, which never arise
No payment of any kind is taken at this end, so the question of card details never opens. The form has no payment field, this site has no checkout, and the office has no means of accepting money from a traveler. Billing sits with the operating company: it invoices you in its own name, on its own schedule, and whatever it needs to collect is collected by that company under arrangements it puts to you directly. If a card number ever reaches this office inside a message, it is deleted on sight and the deletion confirmed to you in writing.
How long a file stays, and why
A request that ended in a reservation is kept while the commission earned on it still has to be accounted for, which runs to several years. A request that came to nothing is kept for twelve months, then deleted. The twelve months are there for an ordinary reason: windows move, people write again the following season about the same one, and beginning from a blank page wastes everybody's time. Ask for it to go sooner and it goes sooner. Calls are not recorded, and what survives one is whatever a person wrote down to answer the question in it, under the same twelve months as everything else.

Ask for these, and how they come back
Four things, and none of them needs a reason attached. You can ask whether anything about you is held here at all. You can ask for a copy of it. You can ask for it to be corrected, the commonest of the four, because a surname is misspelled more often than anything else goes wrong. And you can ask for it to be erased, at which point it goes, apart from whatever an accounted reservation obliges this office to retain; you are told exactly what that remainder is.
Write to bookings@rovinghours.com for the first two, and to corrections@rovinghours.com for a correction to something already sent out. The form at the foot of this page takes a request a request can be put through the form on this page at any hour, and a question about your own file is answered on the same footing as a question about a trip. Before anything is erased, the office asks one thing back: enough to be satisfied that the person asking is the person the file describes. That step is protection for you rather than an obstacle.
Mail that was asked for, and mail that was not
Nothing goes out of this office as marketing unless you have asked for it in words. If you want to hear when a particular window opens for the following year, say so and you are on a short list you put yourself on; one line at the foot of every message takes you off again, and that takes effect the same working day. If you never asked, the only mail you get from here answers something you sent.
This site counts almost nothing
The form posts to this office and to no other address. What gets counted about visits is counted in aggregate: how many readers opened the twelve month strip in a week, which months are read most, which trip pages are read to the end. That informs what gets written more plainly next time, and no attempt is made to work out who a reader is. Anything stored in your browser is there so a page behaves properly while you move around it.
